Dashboard Overview & Navigation

Overview

The Inventory Management dashboard provides real-time visibility into all your inventory projects, progress metrics, and quick access to key functions. This article explains each dashboard component and how to navigate efficiently.

Dashboard Layout

The dashboard is organized into three main areas:

  • Key Performance Indicators (KPIs): Top summary cards
  • Filters & Search: Left sidebar or top toolbar
  • Inventory List: Main content area with cards or table view

Key Performance Indicators

Four summary cards appear at the top of the dashboard:

KPI Card What It Shows Click Action
Active Inventories Count of in-progress inventories Filters list to show only active
Completed Inventories Count of finished inventories Filters list to show only completed
Draft Inventories Count of inventories in setup Filters list to show only drafts
Total Submissions All asset scans across all inventories Shows activity summary

Quick Filter: Click any KPI card to instantly filter the inventory list. Click again to remove filter.

Filters & Search

Status Filter

Filter inventories by status:

  • All: Shows every inventory (default)
  • Active: Currently accepting submissions
  • Draft: Setup phase, not yet started
  • Completed: Finished and closed
  • Cancelled: Terminated early

Site Filter

Show inventories for specific locations:

  • Dropdown lists all sites you have access to
  • Select one or more sites
  • Useful for multi-site organizations

Date Range Filter

Filter by due date or creation date:

  • This Week: Due dates within next 7 days
  • This Month: Due dates in current month
  • This Quarter: Due dates in current quarter
  • Custom Range: Specify start and end dates

Search Bar

Search inventories by:

  • Name: Partial match on inventory name
  • Site: Location name
  • Description: Keywords in description field

Example searches:

  • "Q1 2025" - finds all quarterly inventories
  • "Dallas" - finds inventories at Dallas site
  • "Audit" - finds compliance audits

Refresh Button

Manual refresh to see latest updates:

  • Dashboard auto-refreshes every 30 seconds
  • Click refresh icon for immediate update
  • Useful when monitoring active inventories

Inventory List View

Card View (Default)

Each inventory appears as a card showing:

  • Inventory Name: Large text at top
  • Site: Location subtitle
  • Status Badge: Color-coded indicator (green=active, gray=draft, blue=completed)
  • Progress Bar: Visual completion percentage
  • Due Date: Target completion date
  • Quick Stats: Expected assets, submissions, verified count
  • Action Button: "View Details" or "Continue"

Table View (Optional)

Switch to table view for compact display:

Column Information
Name Inventory name (clickable link)
Site Location
Status Active, Draft, Completed, Cancelled
Progress Completion percentage
Due Date Target completion
Submissions Total scans received
Actions View, Edit, Complete buttons

Sorting

Click column headers to sort:

  • Name: Alphabetical A-Z or Z-A
  • Status: Groups by Active, Draft, Completed
  • Progress: Lowest to highest or highest to lowest
  • Due Date: Earliest to latest or latest to earliest
  • Submissions: Lowest to highest count

Inventory Details Page

Click any inventory to see full details:

Summary Section (Top)

  • Inventory Name & Status: Large heading with badge
  • Site: Location (locked, cannot change)
  • Due Date: Target completion (editable)
  • Description: Project notes (editable)
  • Progress Metrics: Percentage complete, assets verified, submissions received
  • Active Users: Green dots indicate current activity

Action Buttons

Available actions depend on status:

Button Available When Action
Activate Draft status Start inventory, enable submissions
Complete Active status Finalize inventory, disable submissions
Cancel Draft or Active Terminate inventory early
Edit Details Draft or Active Update name, description, due date
Export Report Any status Download results (PDF, CSV, JSON)

Tab Navigation

Details page has multiple tabs:

  1. Overview: Summary metrics and progress
  2. Users: Assigned users and external access links
  3. Match: Reconcile submissions to existing assets
  4. Review & Process: Resolve flags and approve submissions
  5. Results: Final reports and analytics
  6. History: Audit trail of status changes

Progress Metrics Explained

Completion Percentage

Formula:

Progress % = (Verified Assets / Expected Assets) × 100

Example:

  • Expected assets: 500
  • Verified assets: 375
  • Progress: 75%

Note: Progress can exceed 100% if new assets are discovered that weren't in the database. This is normal for blind inventories.

Submissions vs. Verified Assets

  • Submissions: Total scans received (may include duplicates)
  • Verified Assets: Unique assets confirmed (after processing)

Example:

  • Submissions: 650 (users scanned 650 times)
  • Verified Assets: 380 (380 unique assets confirmed after removing duplicates)

Expected Assets

  • Count of active assets assigned to the site in ARMOR
  • Calculated when inventory is created
  • Does not update if assets are added/removed from site during inventory
  • Used as denominator for progress percentage

Missing Assets

  • Expected assets not yet verified
  • Calculated: Expected Assets - Verified Assets
  • Shows on Results tab with details

New Assets

  • Assets found during inventory that weren't in database
  • Common in blind inventories
  • Require administrator review and decision (add to system or reject)

User Activity Indicators

Active User Status

Real-time indicators show who's working:

  • Green: Submitted in last 10 minutes (actively scanning)
  • Gray: Not recently active

Submission Counts

Each user's row shows:

  • Total submissions: Number of scans submitted
  • Last activity: Timestamp of most recent submission
  • Progress (if assigned user): Percentage of their assigned assets

Navigation Tips

Quick Access Patterns

  • Dashboard → Active Inventories KPI: See what's in progress
  • Dashboard → Search "Q1": Find quarterly inventories quickly
  • Inventory Details → Match Tab: Jump straight to processing
  • Inventory Details → Results Tab: Generate reports anytime

Breadcrumb Navigation

Top of page shows your location:

Click any breadcrumb to navigate back

Keyboard Shortcuts

Common shortcuts (if supported):

  • Ctrl+K (Cmd+K): Open search
  • Esc: Close modals or return to dashboard
  • Tab: Navigate between filters and cards

Dashboard Customization

View Preferences

Settings icon (gear) allows:

  • Default view: Card or table layout
  • Items per page: 10, 25, 50, or 100
  • Default sort: Name, due date, status, etc.
  • Auto-refresh interval: 15, 30, 60 seconds

Saved Filters

Some systems allow saving filter combinations:

  • "My Active Inventories" - your inventories, active status
  • "Due This Week" - all inventories, due in next 7 days
  • "Dallas Site" - all statuses, Dallas location only

Mobile Dashboard

Mobile view simplifies interface:

  • KPI cards: Stack vertically
  • Filters: Collapse into menu
  • Inventory cards: Full-width, single column
  • Touch-friendly: Larger buttons and tap targets

Core functionality available on mobile, but processing tabs (Match/Review/Results) work best on desktop/tablet.

Best Practices

Daily Dashboard Review

  • Check Active Inventories KPI for projects needing attention
  • Look for green user indicators (who's actively working)
  • Review progress percentages for inventories approaching due dates
  • Address low-progress inventories (reach out to users)

Filter Strategies

  • Monday morning: Filter to "Due This Week" to prioritize
  • Mid-project: Filter to "Active" and sort by progress (lowest first)
  • Month-end: Filter to "Completed This Month" for reporting

Organization

  • Use consistent naming: "[Site] - [Purpose] - [Period]"
  • Complete or cancel old inventories to reduce clutter
  • Archive completed inventories to separate view (if available)
  • Document in descriptions for easy search later
